Is your video conferencing safe?

We use Opentok as our video conferencing provider which utilises AES 128 bit encryption.

What do I need to know about my technology?

Before getting started with your first online counselling or coaching session it’s important to make sure you meet our technical requirements. There are three things you need to secure before your first session.

·        Test your connection speed to see whether you have enough capacity for a high-quality video session. Your download rate should be at least 10mbit and upload 2mbit. You can test your connection speed here: http://www.speedtest.net/

·        You need to use Google Chrome to access the actual video session. Download and install it here before your first session to be able to start a dialogue with your chosen counsellor: https://www.google.com/chrome/

·        Make sure your webcam works in Google Chrome by visiting the test page below. A dialogue box should come up that asks to access your camera. Approve and if all works as it should you should see yourself in a window at the bottom of the page. https://opentokrtc.com

How do I prepare for my first online session?

·        For your first session, be sure to log in 5-10 minutes before the scheduled time to make sure everything is in order.

·        To access your session, login to your dashboard via www.stillpointspaces.com

·        Once logged in, you will find your booked session. Click to enter the session.

·        As you enter the session, your browser might ask to access your web camera. Make sure to click ‘Allow.’ Below you can see a screenshot of where this dialogue box may come up.

·        If you cannot see your counsellor it is because she or he has not yet joined the session. You can use the chat to send a message to the counsellor.

·        In the top menu on the right hand side, you can also decide to expand to full-screen, adjust the volume, turn on your camera (if you prefer video) as well as exit your session.

·        When the session is finished you can agree with your counsellor on a new time for a next session.

What happens if I experience technical difficulties during a session?

Stillpoint Spaces lays out clear technical requirements and instructions to help insure a good experience with your counsellor. Please be sure to read our technical check-list above before your first session to assure you meet the needed technical standards. Some problems may exist that are our out of our control, such as internet outage. Stillpoint Spaces has a clear refund policy in place for these types of problems.

Discuss with your counsellor what the “Plan B” might be if there is a technical failure. Plan B may be an arrangement to meet again at another time, or your counsellor may give you a landline or some other way of contacting them if the internet or wifi should go down.

What happens if I need to cancel an online  session?

Please speak to your counsellor about the expected terms of missed or cancelled sessions.

How do I pay for my sessions?

Your counsellor will arrange with you their preferred method of payment and set those terms for payment with you. It is likely that you will receive an invoice for your sessions via our online platform. You may be able to pay with a credit or debit card, or via some other arrangement.

What else might I need to be aware of when receiving counselling online?

In face-to-face counselling and coaching it is generally the practitioner’s job to ensure that where you are meeting is safe, private, and confidential. When working online this responsibility is shared. There are things that you can do to ensure that you get the most out of online counselling or coaching.

·       Please ensure that you are working in a calm and quiet environment where you will not be interrupted.

·       Check that you cannot be overheard. Your counselling experience is dependent on confidentiality and privacy – so it’s crucial you are in a secure place. It is not advised to have sessions in public spaces, cafes, or while driving.

·       Make sure you give the session your undivided attention. Shut down all your other windows and applications so you will not receive emails or other distractions during your session.

·       Many clients find it helpful to make a break at least ten minutes before and after a session. Moving from a work situation (responding to emails for example) and into a session, followed immediately by another work session can inhibit the necessary processing you need to do before and after a counselling or coaching session.
